By Role

Secretary-Treasurer / Financial Secretary

Receive the remittance, apply it to the member, and walk into the meeting with a dues position you can open if someone asks for the file.

Union Software is built for the collective bargaining economy — the local, the unit, the hall, the board — not for an employer HR stack. For this office the value is union revenue with a trail: remittance, member ledger, standing, per capita, and the pack.

How the week runs in the software

Finance & Dues holds remittances, exceptions, and the period reports. People carries the standing those remittances produce. Trustees and Voting read the same standing.

The software answers which rows applied, who is current, what per capita sits on, and what Trustees can open. Standing is not rebuilt the night before the meeting.

Membership meeting, bright hall.

How Union Software helps

The remittance is a controlled intake

Finance & Dues takes the employer submission, validates member rows, reconciles the payment, and applies approved dues to People. Exceptions stay visible.

Good standing is a field, not a side list

People carries status and standing from the dues you applied. Voting and the hall can use the same record.

The overview is the meeting opener

Cash, dues receivable, payables, and the work queue sit in one finance overview — not a monthly workbook built from exports.

Approvals leave a trail

Expenses, lost-time related bills, and cheque runs keep the receipt, the coder, and the reviewer.

Trustees get the record you already work

Reports and the finance history are the pack. You do not retype the quarter.

Employer remittance / checkoff

The monthly file arrived. Three employee numbers do not match. The bank amount is right. You will not apply a clean total over dirty rows.

  1. Open the remittance: employer, period, received date, total, reference.

  2. Validate member allocations against current People records — matches, missing numbers, rate exceptions.

  3. Reconcile the bank amount to the validated rows; leave exceptions open.

  4. Apply the approved dues to the member records and keep the exception list for follow-up.

How the software handles it

Applied remittance to standing

Finance & Dues applies after validation. People carries standing.

  1. Validate the file.
  2. Apply to People.
  3. Keep exceptions on the member line.
  4. Let Voting and the hall read that standing.

Period count for per capita

The report uses the same applied records.

  1. Close the period.
  2. Read the count.
  3. Keep member lines behind it.
  4. Do not keep a second total.

Trustee view on the same ledgers

Trustees open Finance & Dues period reports and approvals.

  1. Open the period overview.
  2. Attach the reports you already keep.
  3. Keep receipts on those records.
  4. Let Trustees walk that trail.

Lost time on payment and member

Finance & Dues holds the payment. People holds the member.

  1. Record the approved payment.
  2. Keep the approval trail.
  3. Tie it to the member.
  4. Include it in the period report.

Questions they actually ask

How does a remittance become standing?

Finance & Dues applies only after you validate. People then carries that standing. Voting and the hall read it.

Does the product file LM-2?

No. Use Finance & Dues and Advanced Reports as the records those filings draw from.

Who can see a member line?

Finance roles see ledgers. Leadership can see position and counts. Access is role-based.

How do Trustees review without a second book?

They open the same period overview, approvals, and reports in Finance & Dues.

Where do initiation and assessments sit?

On the member in People and the money in Finance & Dues, the same trail as regular dues.
