By Role

Recording Secretary

Notices go to the people in People. Minutes name the decision. The agreement, the vote, and the letter are findable when someone asks what the local actually did.

Union Software is built for the collective bargaining economy — the local, the unit, the hall, the board — not for an employer HR stack. For a Recording Secretary the value is notice, file, and correspondence against the same people the local already has — not a dashboard that pretends to write minutes for you.

How the week runs in the software

Communications sends notice to the People list and keeps the sent count. Agreements, Voting, and cases are the records minutes point at.

The software answers who was notified, what vote or agreement the meeting used, and where the letter went. Three inboxes are not the archive.

Bright union office.

How Union Software helps

The notice uses People

Communications targets the membership, a unit, or the executive from current records. You can say who was reached.

The decision points at a real file

If the board received a case report, a bargaining update, or a finance overview, those views live in the products that produced them. Minutes name the decision; they do not become a second report builder.

Agreements is the filing cabinet the handbook describes

Current and historical contracts, searchable articles. Proposed settlements can sit with the agreement they will become.

A vote is its own record

Officer elections, ratification, strike votes, and bylaw votes keep rules, notices, eligibility, and certification in Voting. You attach the result; you do not retype it into a newsletter from memory.

Correspondence is a send you can find

The outgoing letter or notice stays in Communications against the list you used. This is not a minutes product. It is the officer’s job supported by the lists, notices, agreements, and votes the local already runs.

Membership meeting notice

Bylaws require notice. Last time the list was an export from February. Two new initiates did not hear. A retiree who should not vote did.

  1. Build the recipient list from current People records — members who should receive this notice, as the bylaws require.

  2. Write the notice and agenda in the language the President approved.

  3. Send through Communications on the channel the membership actually reads — email, SMS, or voice.

  4. Check delivery against that same list and keep the send with the meeting file.

How the software handles it

Minutes point at product records

Notice, vote, case, and agreement stay in the software. The minute names them.

  1. Keep the decision in the minute.
  2. Point at the vote, case, or agreement.
  3. Leave movers in the officer record.
  4. Open those same records next month.

Letter in Communications

The send and the sent record live in Communications.

  1. Use the directed text.
  2. Send through Communications.
  3. Keep the recipient or sent count.
  4. Point the minute at that send.

Agreement in Agreements

The signed instrument and searchable articles live there. The round stays in Bargaining.

  1. File the instrument.
  2. Keep articles searchable.
  3. Attach it to the round.
  4. Point the minute at that file.

Get Started

Questions they actually ask

Is there a minutes app?

No. Minutes stay the officer record. The software holds the notice, vote, agreement, and case those minutes point at.

How do I prove notice?

Communications sends to the People list you chose and keeps the sent count on that send.

Where is a bylaw vote stored?

In Voting, as its own vote record: eligibility, notice, turnout, certification.

How does a signed agreement get findable?

File it in Agreements. Articles stay searchable. Bargaining keeps the round that produced it.

How does a directed letter get logged?

Send it through Communications. Point the minute at that send. A personal mailbox is not the log.
