By Role

Office Administrator

The hall phone, the remittance import, the address change, the meeting notice — one record, so the officer is not retyping what you already entered.

Union Software is built for the collective bargaining economy — the local, the unit, the hall, the board — not for an employer HR stack. For office staff the value is one data-entry path the officers already trust.

How the week runs in the software

People is the member you find at the counter. Finance & Dues is the remittance you load. Communications is the notice you send. Standing and tickets stay on those records.

The software answers the phone number, which remittance rows failed, who is on tonight’s notice, and whether they are current.

Shared office: the administrator (a white man in his thirties) and a Latina bookkeeper review a remittance list on one screen.

How Union Software helps

People is the counter

Search the member, fix contact, status, worksite, classification. Import when the list arrives as a file.

Remittance is a job, not a favour

Finance & Dues takes the employer file, shows exceptions, and applies what the Treasurer approves. You do not rekey a clean file.

Notices leave from the same list

Communications uses People. You can tell the Recording Secretary who was reached.

The hall asks standing and tickets

People holds credentials and standing. Hiring Hall uses them. You look up; you do not phone three people.

Intake has a home

A phone complaint becomes a partial case or a note on the member — not a sticky on the monitor.

The member at the counter

New phone, new address, maybe a worksite change. They also want to know if they are in good standing. The card file is wrong.

  1. Search the person and open the single record — not a second “office copy.”

  2. Update contact, consent, worksite, or classification on the fields you are allowed to edit.

  3. Read standing and the last applied remittance so the answer matches the Treasurer’s book.

  4. Leave a dated note on the record if they asked for a call-back.

How the software handles it

Remittance import

Finance & Dues maps and previews the file. Apply stays with the Treasurer.

  1. Import with mapping.
  2. See failed rows.
  3. Leave apply to the Treasurer.
  4. Do not keep a third book.

Notice send

Communications sends the secretary’s text to current People records.

  1. Use that text.
  2. Target the current list.
  3. Send.
  4. Keep the sent count.

Intake on the right record

People for the member. Grievances & Cases if it is representation.

  1. Find the member.
  2. Open or start the case if needed.
  3. Read standing on People if that is the question.
  4. Leave the note on that record.

Operationally ready

This is not a promise that software answers the phone. It is a promise the answer you give is the record the officer will sign.

Questions they actually ask

How does an address change stay on one record?

You edit People. Officers and the hall read that member. There is no office-only book.

How do I load a remittance for the Treasurer?

Finance & Dues import with mapping and preview. Failed rows stay visible. Apply stays with the Treasurer.

How does tonight’s notice get sent?

Communications sends the secretary’s text to the current People list and keeps the sent count.

Where does a discipline call go?

Find the member in People and open or start the case. A standing question stays on People.

Where is lost time stored?

Finance & Dues holds the payment and approval trail. People holds the member.
